Exporting List Information

Please note: The Export techniques for Accounts and Contacts are similar. The documentation that comes with the software explains in detail BOTH export procedures.
So you can get an idea of how the software works we only show the QuickBooks® Account information transfer on this web site for brevity.

The Export Accounts process takes the Chart of Accounts in your QuickBooks® company file and transfers them into the Remote Register PC software. Then the Remote Register PC software displays the accounts in a list so you can configure the Transfer to send only the accounts you know you will use on the Pocket PC.
The window you use to control what Account Information gets transferred is shown below.
Summary
The very first time you use the Export Accounts window the Grid will be empty. You have to first Load the grid by clicking the Load button. After the Grid is loaded, you use the Grid to specify what Accounts to transfer to the hand held Remote Register Pocket PC software.
The information in the Grid is stored for re-use so you can Re-Load updated account information from your QuickBooks® company file repeatedly and then transfer updated information from your company file (like the account balances) back to the hand held software again, without having Re-Select the accounts to transfer.

The details for the Export Window are as follows
Grid Columns
Transfer: This column shows what QuickBooks® accounts will be transferred. If checked, the account will be transferred.
Name: When originally loaded, this column is the Full Name of the QuickBooks® account. (This includes all of the accounts parent account names) You can change the name in the grid if you like. The name you type in is what will be sent to and displayed in the Remote Register hand held Pocket PC software. Any transactions using this name on the hand held Remote Register software, when transferred back into your QuickBooks® company file, will use the original name from the QuickBooks® company files chart of accounts.
Bank Acct Number: This is the Bank Number of the QuickBooks® account. We assume you put your Bank Institutions Number for the Account here. You can change this information if you prefer not to have the real account number on your Pocket PC.
Balance: This column is for informational purposes only and cannot be changed in this software. This is the Balance of the account in the company file at the time you loaded the grid. This is updated each time you load the grid.
Functions
Clear Grid: As the account Transfer is driven by the information in the Grid, your Account transfer configuration remains intact each time you use the transfer process. Sometimes however, you may want to simply start over. When you click the Clear Grid toolbar button ALL entries in the Grid are deleted.
Load Grid: This function is intended to be used repeatedly. When clicked, the window connects to the chosen QuickBooks® company file and extracts the current Chart of Accounts. During the load process, for each QuickBooks® account being transferred, its QuickBooks® internal ID Code is looked up in the Grid (The QuickBooks® ID-Code is hidden and cannot be seen). If the Account is already in the Grid, the Balance is updated to reflect what is currently in the QuickBooks® company file. All the other settings in the Grid for the account are preserved. If the Account is not found in the Grid, it is added with all the information currently in the QuickBooks® file for the account.
Transfer:
To Mobile Device
This function assumes your Pocket PC is connected to your computer (in its cradle), powered on, and synchronized with Active Sync. After it validates those conditions, it writes an Accounts.txt file to be imported into the Remote Register software on the Pocket PC in the folder that was selected on the Main screen. This file is subsequently read into the hand held Pocket PC Remote Register software so that the remote software knows the Accounts being imported came from your QuickBooks® company file.
To PC File
This function will write the Accounts file to a location on your PC that you select. This file can be manually placed on your remote device and then be read into the hand held Pocket PC Remote Register software so that the remote software knows the Accounts being imported came from your QuickBooks® company file.
Tools: As there are hundreds of potential Accounts in a typical company file, there are pre-established sorts you can use to bring the information you want, to the top of the grid. Select the desired sort by clicking the drop down arrow of the toolbar button.
